Family Success Coordinator

The Family Success Coordinator is the primary point of contact for families from their first inquiry through ongoing service, and serves as the operational hub connecting families, intake, billing, and the transportation team.

Key Responsibilities

  • Answer and manage all phone calls and inquiries received through the Covered Journey website contact form
  • Schedule and coordinate intake meetings with families
  • Manage the day-to-day operation of the CRM system, maintaining accurate and up-to-date family and client records
  • Process family payments and invoices, and monitor account balances and outstanding fees
  • Ensure all required intake, medical, waiver, and authorization forms are completed and filed
  • Verify required documentation and approvals are on file before scheduling service
  • Schedule transportation once a family has been approved for service
  • Coordinate scheduling, routing, and trip changes with the Transportation Specialist team
  • Communicate proactively with families regarding schedule confirmations, changes, and outstanding needs
  • Track waiver/authorization periods and follow up with families and support coordinators before expiration
  • Support new-family onboarding and walk families through the intake and approval process
  • Maintain confidentiality of family and client information in accordance with Company policy
  • Provide general administrative and office support as needed

Qualifications

  • High school diploma or equivalent required; some college or relevant experience preferred
  • Prior experience in customer service, scheduling, care coordination, or office administration
  • Comfortable learning and managing CRM or scheduling software
  • Basic bookkeeping/billing familiarity; comfortable handling payment processing
  • Familiarity with Medicaid waiver programs (e.g., NOW/COMP) a plus, not required
  • Warm, patient, and clear communicator with families of individuals with developmental disabilities or autism
  • Highly organized, detail-oriented, and able to manage multiple priorities
  • Proficient with Microsoft Office / Google Workspace

Transportation Specialist (Driver)

The Transportation Specialist safely operates Company vehicles to transport clients to and from scheduled destinations, serving as the face of Covered Journey during every ride and ensuring each individual feels safe, comfortable, and respected.

Key Responsibilities

  • Safely transport clients to and from scheduled pickup and drop-off locations, on time
  • Complete pre-trip and post-trip vehicle inspections using the Driver Daily Vehicle Inspection Form
  • Keep the assigned vehicle clean, safe, and in good working order; report any needed repairs or maintenance promptly
  • Communicate proactively with families and day programs regarding trip status, delays, or schedule changes
  • Monitor passenger comfort throughout the ride, watching for signs of sensory sensitivity or distress and adjusting conditions accordingly (temperature, noise/music level, lighting, pacing)
  • Provide clear, supportive verbal and visual cues to help passengers feel safe, prepared, and comfortable during the ride
  • Properly use all safety and securement equipment, including seatbelts and mobility/adaptive equipment as needed
  • Respond calmly and appropriately to behavioral or medical concerns during a ride, following Company safety protocol
  • Maintain a calm, patient, and reassuring demeanor with every passenger
  • Accurately complete the Student Transportation Log or trip log for every ride
  • Follow all traffic laws, safety regulations, and Company policies at all times
  • Maintain a valid driver's license, clean driving record, and compliance with vehicle insurance and registration requirements

Qualifications

  • Valid driver's license with a clean driving record; minimum 21 years of age preferred
  • Ability to pass a background check and drug screening
  • CPR/First Aid certification preferred, or willingness to obtain
  • Experience or training working with individuals with autism or developmental disabilities preferred
  • Reliable, punctual, and physically able to assist passengers with mobility or adaptive equipment as needed
  • Patient, calm under pressure, and attentive to passenger needs
  • Strong sense of responsibility for vehicle safety, cleanliness, and maintenance
  • Must complete Registered Behavior Technician (RBT) training through the Autism Partnership Foundation within three (3) months of employment
